Fill in required forms on a job
A form on a job is a checklist or report the technician fills in where the work happens: a risk analysis before starting, a test report before closing, a declaration of conformity. Each kind of job decides which forms it carries and when they must be done.
Build the form. Forms are built and published like any questionnaire, see Build a questionnaire. A question can start out filled in from the job: pick a source under Udfyld fra jobbet, such as Kundenavn, Arbejdsstedets adresse, Jobnummer, Montøren der udfylder skemaet or Dagens dato. The technician can still change the value.
Attach it to a kind of job. In Job settings, open Opgavetyper and click the kind of job. In its Skemaer section, choose Tilføj skema and pick the form. Then say when it is needed (each change is saved as you make it):
- Påkrævet før arbejdet starter: the job cannot move into an on-site status until the form is submitted. Use this for a risk analysis.
- Påkrævet før afslutning: the job cannot be marked done until the form is submitted. This also covers the forms required before work starts.
- Valgfrit: the form is offered on every job of this kind, but nothing waits for it.
Which statuses count as on-site and done is set on the statuses themselves, see Set up your job statuses.
Fill it in on the job. Open the job and go to the Skemaer tab. Each form shows whether it is not started, how far it is filled in, or who submitted it and when, and forms that are still required are marked Før arbejdet starter or Før afslutning. Open a form, answer the questions and press Aflever. Answers are saved as you go, so you can leave and come back. A photo question has Tilføj billede, which opens the camera on a phone. The picture is saved on the job, named after the question, so it also shows under Billeder. A question that is required but unanswered is marked when you submit.
To correct a submitted form, open it and press Rediger. It then counts as not submitted until you submit it again. A form the kind of job does not carry can be added by hand with Tilføj skema.
When a form is missing. Moving the job into a status that needs it is refused, and the message names the forms still to submit, the same way as the other checks in Decide what a job needs before each status.
