Find a time and the right person for a job
A customer calls and wants their heat pump serviced. On the Jobs page, open Planlægning and press Find en tid. A bar opens above the grid, and the grid starts looking for an hour of any kind of job straight away.
Say what the job is. Pick the kind of job, or leave it at Alle typer opgaver and pick how long it takes. A kind of job brings its own length, and a length you pick wins. If the kind you need is not in the list, choose Ny opgavetype at the bottom of it: give it a name, how long it takes and, if it differs from the usual, the driving time, and it is picked for you. Next to it you see how much driving is kept free around the job (+ {{minutes}} min kørsel). Pick the customer as well if you know it: that is optional, but it makes the suggestions sharper.
Read the grid. Everybody in the workspace now has a row, best fit first, and the top row is marked Passer bedst. Under each name is why, in plain words:
- Har lavet {{count}} af dem: they have done this kind of job in the last year. This counts the most.
- Har været hos denne kunde: they know the site already.
- Arbejder {{km}} km væk den dag: one of their jobs that day is close to the customer. Distance is measured in a straight line from the customer's address and the job's site, so it ranks rather than routes, and it needs both to be on the map.
- {{hours}} booket den dag or Intet booket den dag: a lighter day ranks higher, and so does sooner.
- Har ikke været på en opgave i år: they sink to the bottom, but stay pickable.
In Uge each day shows the first free start times as green buttons. In Dag the free time is drawn as green bands on each person's line. Free time means: inside the working day, long enough for the job, with the driving time kept free after the job before it and before the job after it. A day with time off has no free time.
Start the job. Click a free time. The new job opens with the time, the person, the kind of job and the customer already filled in, so you finish it there. The cross at the end of the bar (Stop tidssøgning) puts the Schedule back to normal.
Without the bar open you can still start a job straight from the Schedule: in Dag point at empty time on somebody's line and click; in Uge hover over a day and click the time that appears. Time already taken by one of their jobs cannot be picked.
Drag to move. Drag a job to another time, day or person. In Uge a job dropped on another day keeps its time of day; in Dag it lands where you let go, on the quarter hour. It keeps its length. Dragged from the row of the person responsible for it, the job becomes the new person's. Dragged from the row of somebody who is only on its crew, only the time moves, and you are told to change the crew on the job to swap who goes. Nothing is refused: if the person already has a job then, or has time off, it is moved anyway and you are told ({{person}} har allerede "{{other}}" på det tidspunkt.). If the move cannot be saved, the job goes back where it was.
Jobs without a time. The count next to the date ({{count}} uden tid) opens Uden tid beside the grid: every open job with no time, oldest first, with everybody's row shown so there is somewhere to drop it. Drag one onto a person's day to give it the first free time that day, or onto a time in Dag.
Drafts hold a time without sending it. A job saved as a draft with a time shows on the Schedule with a dashed outline, and a draft you drag stays a draft: the message after the move offers Book nu for when you are sure. It keeps the time visibly taken, but it is not in the technician's calendar and nobody has been told. It reaches their calendar when it moves on from the draft status, which is where your own rules from Decide what a job needs before each status decide what it must have first.
Setting the lengths. Open Job settings and find Opgavetyper. For each kind of job set Tager (min) and, if it differs from the usual, Kørsel (min). Left empty, the driving time is the workspace's Kørsel mellem opgaver. The same card sets the working day (Arbejdsdag fra) and the Arbejdsdage, Monday to Friday unless you change them, which is where free time is looked for. Switch I brug off for a kind you no longer use: jobs that already have it keep it.
Where everyone is. Kort on the Jobs page shows one day's jobs as pins on a map, coloured by status, with the day's jobs listed beside it in time order. A job happening right now stands out, and a draft looks pencilled in. Point at or click a pin to see the time, the customer and who is on it, and open the job from there. Pick one person to see only their day. Jobs whose address could not be placed are listed separately rather than left out. The map shows where the jobs are, not where people's phones are.
