Set up your job statuses

A job starts on Status and moves along as the work happens. The statuses are yours: rename them, delete the ones you do not use, add the ones you do. Nothing in the module is written against a status by name.

Where to change them. On the Jobs page open Indstillinger and choose Jobstatusser. Drag a status by its handle to move it in the order you work in, click its colour to change it, and type over its name to rename it. Tilføj en status puts a new one at the end. Every change saves as you make it.

You start with Draft, Scheduled, En route, On site, Work done, Awaiting approval, Approved, Invoiced and Cancelled. A window cleaner will delete half of those. An electrical contractor will add "Waiting for parts".

What makes them behave differently is not the name but what you say each one means:

  • Booked — the visit has a committed slot and belongs on the dispatch board.
  • On site — the crew has arrived. Entering it stamps the arrival time, which is what lets you answer "when did we actually get there" later.
  • Needs approving — the job parks here and waits for a named person to sign it off. This is the step for the manager who checks what was done before anything is charged for.
  • Bills the work — entering this status is what turns the delivered lines into an invoice.
  • Finished — counts as done in reporting.
  • Dead end — cancelled, rather than completed.

You can put those on as many or as few statuses as you like, which is what makes the same module work for a one-person operation and for a company with a checking step between the van and the invoice.

Telling the customer. Turn on Fortæl kunden det on a status and the customer gets a text message the moment a job reaches it, in your own words. Use Indsæt en detalje to drop in the time, the address or who is coming, and the screen shows you what the customer would read and how many text messages it will be billed as. Text messages are charged per message, not per send, so a wording that spills past one costs double on every visit. Leave the box empty and we send a plain sentence naming your company and the visit.

Three things the screen will not let you do, because each one would lose something you cannot get back:

  • Delete the status new jobs land on. Mark a different one as the starting status first. Only one status can hold it, and ticking it on another clears it from the old one for you.
  • Delete your only status. Add a second one first.
  • Delete a status with jobs on it without saying where they go. You choose the status to move them to, they all move at once, and each job records the move in its own history.

Renaming is always safe. A job that is already on a status keeps it, whatever you call the status afterwards.

Changing a job's status is the picker on the job itself. Every move is written down with who made it and when, and that record cannot be edited or removed — see the Historik tab and Hvert skridt jobbet har været igennem, i rækkefølge, med klokkeslættet det skete. If a move does not go through, the message names the status it could not reach: Jobbet kunne ikke flyttes til {{status}}. Prøv igen.

On the Jobs page, Tavle groups by status so you can see the day at a glance. A job whose status is one you have since deactivated shows under Ingen aktiv status rather than disappearing.
