Invoice a project, in parts or by the hour, and see what it earned
A project can be invoiced straight from the project: its billable hours, its agreed price, or part of that price. The invoice is an ordinary draft, so it reaches your accounting system the same way every other draft does.
Decide how each part is billed
A project is billed in parts. The project itself is one part. Every task group you mark billable is another, billed on its own terms. That is how one job can be design at a fixed price and development by the hour.
- 1On the project, open the menu and select Fakturering og økonomi.
- 2Under Projektets vilkår, set the Faktureringsmetode: Fast pris, Timebaseret or Timer og omkostninger, plus the Aftalt pris or Timepris.
- 3Under Opgavegrupper, switch on Fakturerbar for each group billed on its own terms, and give it a method, a price and an Timebudget. A group you leave off is billed on the project's terms.
Hours logged on a task follow the task's group. Hours logged straight on the project belong to the project.
On an hourly part with an Timebudget, the part shows Budgetteret omsætning (the hour budget at the part's price per hour, or the project's when the part has none) and the hours logged against the budget.
Bill it
Hvad kan faktureres shows, for each part, what is agreed, what is billed and what is left.
- Tick Medtag de klare timer: {{hours}}, {{amount}} to bill the billable hours nobody has invoiced yet.
- Select Tilføj delbetaling to bill part of the agreed price: a percent, an amount, or Resten. Write what the customer should read in Tekst på fakturaen, for example "50 % at start".
- Select Planlæg til senere to schedule a part payment for a date. It turns up as due on that day.
Then select Opret fakturakladde. You get one draft invoice for the project, the hours are marked invoiced, and the part payment is recorded. Send it like any other invoice: see Send an invoice and record payment.
Bill purchases and products
Under Varer og indkøb, select Tilføj vare to bill something besides hours: a purchase you pass on, or a product from your catalogue. Give it a Antal and a Pris pr. enhed, or a Kostpris pr. enhed and a Avance % to have the price worked out. Choose the part it is billed on in Faktureres på.
On an hourly part, tick Medtag {{count}} varer: {{amount}} on that part to put its items on the invoice. On a fixed-price part an item is covered by the price and is shown, not billed. An item can be changed or removed until it is on an invoice.
Bill hours up to a date
Pick a day in Fakturer timer til og med to bill only the hours logged up to and including that day. Later hours stay waiting for the next invoice. The amounts on screen follow the date.
A part payment can never go past the price. What is left to bill is always the agreed price minus what has been billed and planned, so billing "the rest" twice is refused.
Hours on a fixed-price part are not billed. They are shown so you can see the price being used up, but the price is what the customer pays.
Everything waiting, in one list
Klar til fakturering, from the button on the Invoices page, lists every project with hours or part payments ready to bill, and every agreed price that is not fully billed. Tick several and select Opret kladder for {{count}} valgte to raise a draft for each.
Tick Én faktura pr. kunde to put the selected projects of the same customer on one draft instead, with a heading line for each project. Fakturer timer til og med works here too.
If your projects come from PowerOffice
- Hours that are already in PowerOffice are billed there, from PowerOffice's own invoice suggestions. They are counted on the project but never billed from DealJourney, so a customer is never charged for them twice.
- The project's own price, billing method and billable setting come from PowerOffice and are changed there.
- A sub-project in PowerOffice shows up as a task group of its parent, for example 2703.10 to 2703.50 as five parts of project 2703. Each one reads "From PowerOffice" with its number, and its price, billing method, hour budget and billable setting come from PowerOffice: change them there. The hours logged on the sub-project are billed as part of the group. The sub-project is not listed as a project of its own any more, but a link to it still opens it. A sub-project for a different customer stays its own project, and an archived one is no longer billed.
- A task group you make billable here becomes a sub-project in PowerOffice, when your workspace sends projects to PowerOffice. From then on its terms come from PowerOffice too.
- An invoice raised from the project names the project in PowerOffice, so PowerOffice books the revenue on it. A line that bills a sub-project's group is booked on that sub-project, and hours logged on a task in such a group go to the sub-project in PowerOffice.
- Purchases coded to the project in PowerOffice are billed there, from its invoice suggestions. Items you add in DealJourney are billed by DealJourney, on its own order lines, with the product when you chose one.
- One invoice for several projects books each line on its own project in PowerOffice.
- VAT follows the product a line is booked as. PowerOffice has no VAT field on an order line; it takes VAT from the product's sales account, and a line without a product falls back to the company's standard sales account, which can carry 0 % VAT. Select Vælg produkter (or Skift) at the top of the invoicing sheet or on Klar til fakturering and pick one product for Produkt til timer and one for Produkt til fast pris og delbetalinger; they can be the same. Only products that exist in PowerOffice can be chosen, and only an admin can choose. Until both are chosen, a warning says VAT will follow the standard sales account. Items keep their own product. The choice applies to new drafts; drafts already created keep their lines.
- The picker shows each product's VAT, as synced from its sales account in PowerOffice, and the draft's lines use it: an hour product on a 0 % account drafts at 0 %. A warning appears when a chosen product's VAT is not 25 %, or when it is not known because the product has no sales account of its own or on its group in PowerOffice (it then follows PowerOffice's default account, which DealJourney cannot read, and drafts show 25 %).
What the project earned and cost
Økonomi shows Omsætning, Vareforbrug, Andre omkostninger and Dækningsbidrag, from the postings your accountant made on the project in PowerOffice, sub-projects included. The supplier invoices behind the costs are listed underneath. The figures count from the date shown, which is as far back as your accounting history goes in DealJourney.
Fra PowerOffice lists every other field PowerOffice holds about the project, so nothing is lost even when DealJourney has no field of its own for it.
