Add products to an opportunity

Product lines turn an opportunity from a single number into an actual quote, and they are what a generated offer is built from.

  1. 1Open the opportunity.
  2. 2Go to the Produkter tab.
  3. 3Add a line for each product, choosing it from your product catalogue so the price and VAT come across correctly.
  4. 4Set the quantity, and adjust the price if this customer has agreed something different from list.

Discounts are per unit. The Rab/stk column takes either a percentage or an amount in the line's currency, and the toggle beside it switches between the two (Skift til beløb pr. enhed / Skift til procentrabat). Both come off each unit, the same way the price beside them is per unit: 2 000 off a line of ten units at 12 500 makes each unit 10 500, so the line totals 105 000. If you would rather think in the price the customer ends up paying, type it into Tilbudspris/stk and the discount is worked out for you.

Changing the order of the lines. Every line has a drag handle at its left edge. Drag a line up or down to where it belongs, and the rest move to make room. One-off and recurring lines can be mixed in any order. The new order is saved with the deal, and documents built from the deal list the lines in that order. Where a document prints one-off and recurring lines in separate sections, each section keeps your order.

Adding a product group. Tilføj varegruppe adds every product in a group at once, for example a start-up package you put on every offer. The products land as ordinary lines in the order they have in the group, and from then on you move them like any other line. The group itself is not a heading on the quote. To change the order products arrive in, open Administrer varegrupper, edit the group and drag its products into place (Træk for at ændre rækkefølgen).

Taking money off with a line of its own. A trade-in, a credit or any other deduction is just a line with a minus price: put the minus sign in front of the figure in Pris (or in Tilbudspris/stk) and the amount is subtracted from the quote total instead of added to it. The quantity stays a normal positive number, and the offer document shows the deduction as its own line, the way the customer expects to see it. If the line also carries a cost, its DG% reads as a minus, because money leaving the deal with a cost behind it is a loss rather than a margin.

The opportunity's value is calculated from these lines, so the deal amount updates as you add them. This is why an amount that looks wrong is usually a line problem rather than an amount problem.

One-time versus recurring. Lines are counted separately as Engangsbeløb and Løbende, because a monthly fee and a one-off setup charge do not mean the same thing to a forecast. Set each line to the right kind or your recurring revenue figures will drift.

Generating the offer. Once the lines are right you can produce a contract or offer document from them and share it with the customer. Tilføj mindst én linje, før du genererer tilbuddet. Regenerating keeps the old version: earlier ones are listed under Revisioner af tilbuddet, so you can see what the customer was sent before the price changed.

If a product is not in the catalogue, add it there first rather than typing a free-text line: a line with no catalogue product behind it will not carry a price, and it is invisible to product-level reporting later.

What the customer is actually billed first

Along the bottom of a deal sit its figures: MRR, ARR, Engangsbetaling, Første faktura and I alt.

On a deal that mixes one-off items with a running agreement, none of the others is the number the customer sees first, and on a long term invoiced a year at a time it is genuinely hard to work out from the parts. Første faktura states it: everything one-off, plus the recurring lines for as many months as one invoice covers. Hover it and it also tells you what falls due afterwards and how many times.

Two settings drive it, both on the deal: how long the agreement runs, and how many months one invoice covers. Change either and the figure moves with it.

Changing the quote currency

Changing the opportunity currency also changes its quote lines. Catalogue products use their current price in the chosen currency, including any manual price your company has set for that currency. This can change a negotiated price, so review the quote before sharing a new offer. Lines without a current catalogue product convert from their existing quoted price; fixed discounts and costs convert too. Percentage discounts stay the same.

The currency and all prices save together after conversion finishes. If prices or an exchange rate cannot be loaded, the previous currency and quote stay in place; retry the currency change after the error is resolved. Simply opening a deal or saving an unrelated field does not reprice its quote.
