Link a customer and contact to an opportunity
An opportunity belongs to a customer (the company buying) and normally names a contact (the person you deal with). Both matter: the customer is what the deal reports against, and the contact is who a quote or email actually goes to.
To set or change them:
- 1Open the opportunity.
- 2Find the customer field and the Kontakt field on the record.
- 3Pick the company, then pick the person. The contact list is drawn from the people linked to that customer, so choosing the customer first is what makes the right names appear.
- 4Press Gem.If the person you want is not in the list, they are not linked to that
company yet. Add the link on the contact first (see "Add a contact to a company"), and they will then be selectable here.
Creating the deal from the customer is easier. Open the customer and create the opportunity from their record: the company is filled in for you and only the person is left to choose.
An opportunity with no contact still works, but nothing that needs a recipient will: quotes, offers and emails all need somebody to send to.
Who is responsible for the deal
One field answers that: ⟦Tildelt⟧.
It decides whose pipeline the deal appears in, who is notified about it, and who can see it at all when access is restricted by owner. Reporting credits the same person, so a deal is never claimed by one colleague on the board and a different one in a revenue report.
A second colleague can be added alongside the first. That is a co-owner, not a rival owner: they see the deal and get the same notifications, and the first name stays the one the deal belongs to.
There used to be a separate Sales rep picker beside this one. It is gone. It was a second place to name a person, nothing kept the two in step, and a deal could end up assigned to one colleague and credited to another with no way to tell which the rest of the product believed. Deals that carried a sales rep keep the person they had; anything you change from now on sets both at once.
If you need to record somebody else's part in the deal, such as who booked the meeting or who runs the project after signing, use the people roles below. That is what they are for.
Roles: who else is on this deal
Beside the customer and the contact, a deal carries a ⟦Personer⟧ list. Each entry names a colleague or a customer contact and says what they are responsible for here: the seller, the person who booked the meeting, whoever runs the project. The roles themselves are yours to define, so the list reads in your own words.
Press ⟦Tilføj person⟧ on the deal, pick the person, then pick the role. A role you have not filled in takes up no space on the record.
Making a role compulsory
If your reporting is per seller or per meeting booker, a deal with nobody on it is a hole in the numbers. Mark the role required and the deal cannot be saved without it:
- 1Open Admin and go to ⟦Feltopsætning⟧.
- 2Choose the deal record type and open the role.
- 3Switch on ⟦Påkrævet felt⟧.
A required role that nobody has filled in yet shows on the deal as ⟦Ikke tildelt⟧ with the role name under it, so it can be filled in on the spot. Everything in Decide what has to be filled in before a record is created applies to it as well.
Filling the seller in automatically
Most of the time the person creating the quote is the seller, and picking themselves every time is pure friction. In the same place, switch on ⟦Udfyld med den, der opretter posten⟧. A new deal then opens with that role already set to whoever is creating it, and they can still change it before saving.
This is offered only for roles that name a colleague. A role that points at someone at the customer is never filled in this way, because the person at the keyboard is not that person.
