Link a customer and contact to an opportunity

Tilgængelig i alle planerSådan gør duÅbn i DealJourney

An opportunity belongs to a customer (the company buying) and normally names a contact (the person you deal with). Both matter: the customer is what the deal reports against, and the contact is who a quote or email actually goes to.

To set or change them:

  1. 1Open the opportunity.
  2. 2Find the customer field and the Kontakt field on the record.
  3. 3Pick the company, then pick the person. The contact list is drawn from the people linked to that customer, so choosing the customer first is what makes the right names appear.
  4. 4Press Gem.

If the person you want is not in the list, they are not linked to that company yet. Add the link on the contact first (see "Add a contact to a company"), and they will then be selectable here.

Creating the deal from the customer is easier. Open the customer and create the opportunity from their record: the company is filled in for you and only the person is left to choose.

An opportunity with no contact still works, but nothing that needs a recipient will: quotes, offers and emails all need somebody to send to.

Who works on the deal

The Personer widget on the right is the single list of colleagues working on an opportunity. The left-hand sidebar holds the customer and contact details. Customer pages keep their existing people list.

Choose Tilføj person, search for a colleague, then choose their role on this opportunity. The same person can have a different role on another opportunity, or more than one role here; they still appear once in the list.

If the role is missing, choose Opret ny rolle, enter its name, then choose Opret rolle og tildel. The role stays in this workspace's opportunity role list for future assignments. Creating the role and assigning the person are separate saves: if assignment fails, the new role remains available to choose again.

The Ansvarlig role is the deal owner. Your workspace may rename it. Changing who holds it updates ownership, including whose pipeline the deal appears in. Assign another owner before removing the current owner. Choosing an occupied role shows whose assignment it replaces. Other roles do not change ownership.

Select a person's role to change it. To add an additional role, use Tilføj person and choose the same person again. Existing secondary assignees remain listed, but the retired secondary role is not offered for new assignments.

If the workspace enables contribution splits, the same list also shows each person's percentage. Otherwise, it shows people and roles without percentages. Adding a person or changing their role does not redistribute credit. See Share contribution credit on a deal for shares and former colleagues.

Making a role compulsory

If your reporting is per seller or per meeting booker, a deal with nobody on it is a hole in the numbers. Mark the role required and the deal cannot be saved without it:

  1. 1Open Admin and go to Feltopsætning.
  2. 2Choose the deal record type and open the role.
  3. 3Switch on Påkrævet felt.

A required role that nobody has filled in yet shows on the deal as Ikke tildelt with the role name under it, so it can be filled in on the spot. Everything in Decide what has to be filled in before a record is created applies to it as well.

Filling the seller in automatically

Most of the time the person creating the quote is the seller, and picking themselves every time is pure friction. In the same place, switch on Udfyld med den, der opretter posten. A new deal then opens with that role already set to whoever is creating it, and they can still change it before saving. Every other role can be filled on the same form, so a meeting booker no longer has to be added after the deal exists.

The role is filled in when the deal is saved, too, so a deal created without the form showing that role still gets its seller. Only an empty role is filled: someone chosen on the form always wins, and if the creator removed themselves on purpose, the role stays empty.

This is offered only for roles that name a colleague. A role that points at someone at the customer is never filled in this way, because the person at the keyboard is not that person.

Contact fields that name the main contact

Some workspaces keep extra fields on a deal that point at someone at the customer, such as a sales contact or a project contact. When such a field names the same person as the deal's main contact, the panel leaves it out, because the contact box already shows that person. It appears as soon as it names somebody else, or when the deal has no main contact. Anyone who can edit the panel layout still sees and edits it there, because layout edit mode shows every field.
