Build a custom report

Available on all plansHow-toOpen in DealJourney
  1. 1Open Reports, then My Reports and New Report. Choose Sales and revenue, Meetings and bookings, or Contracts and project milestones to start with a guided report. Choose Build from scratch to configure everything yourself. The picker stays out of the way of saved reports until you open it.
  2. 2Choose the Data Source: the kind of record you are measuring.
  3. 3Add conditions with Add condition to limit which records count. Use Add group when you need an either/or rather than a straight and. A range is one condition: pick between and type the two ends separated by a comma, for example 8000, 8999 for a stretch of postcodes.
  4. 4Add what to measure with Add metric. A count answers "how many"; an Count or total from records over a field answers "how much". Formula lets you combine metrics, for example a rate from two counts.
  5. 5Set Group By to break the answer up: by month, owner, stage, or any field including your own custom ones.
  6. 6Pick how to show it: Table, Bar, Line, Pie, or a single Metric when one number is the whole answer.
  7. 7Name it and save. Report name is required

See the result bigger with Full screen, above the preview while you build and above a saved report when you open it. Charts are drawn to the height of your screen and tables show all their rows without a small scroll box, which makes a long table of records much easier to read.

Custom fields are usable everywhere here: as a condition, and as a Group By. This is what makes a report the right tool for questions about your own categories: how much per project number, per region, per whatever your company tracks that DealJourney does not know about by default.

Check the report against a filtered list once when you first build it. Filter the same records on their list page and see whether the count agrees. If they differ, a condition is not doing what you think, and it is much cheaper to find that out now than after the number has been in a board pack.

Sales starters ask when revenue should count and who gets credit under Credit the full record to. You can select a standard person field or your own custom user field for a seller, booker or KAM. Each record contributes its whole value once to that selected role; this does not divide commissions. Keep separate reports for different roles, and do not add their totals together. Choose Annual sales trend for a monthly breakdown of the current year.

Meeting starters also let you choose a custom date field, such as an original booking date retained during an import, and the person who should get credit. Creation dates may instead be import dates. A scheduled meeting is not proof that it took place. Missing dates are excluded from a dated report and missing people remain unassigned; no salesperson is guessed.

For contracts received, projects sent and other dated KAM work, use Contract and project milestones. Choose your own event date, credit field, period and whether to count opportunities or add their amounts. These reports do not require a won stage. Each opportunity counts once in the selected date period, not once for every repeated event. Amounts are opportunity values in the workspace currency, not invoice receipts. Add a business-line condition in the builder if you want separate boards for separate brands or departments. Latest milestones lists the records behind the selected milestone.

Choose Date range and the date that should count under Date field. For a sales report, use the sale date rather than the date someone created the record. Today and Yesterday follow individual calendar days. This week and Last week use Monday through Sunday, including weeks that cross a month or year. The current week includes the whole week; use a date condition too if future-dated records should be excluded. These windows are resolved again when the report runs, including when shown on your dashboard through Change what your dashboard shows.

For a sales report, you can start with Today's sales by seller, Weekly sales matrix, or Monthly sales trend. These open an unsaved, private draft in your company's primary currency. First choose Count revenue when: Opportunity won uses opportunities in the workspace's configured won stages and their close date; inactive won stages remain included for historical sales. Configure a won stage before choosing this starter. The stage selection is saved with the report; review its filter if the pipeline changes. Contract signed uses agreed or electronically signed opportunities and their signature date, regardless of won stage. Invoice issued uses sent, overdue, partly paid and paid invoices by invoice date, excluding drafts, cancelled and credited invoices. Invoice fully paid uses invoices marked paid and their recorded paid date. It counts the whole invoice when fully paid, not individual instalments or a cash transaction ledger.

For invoice reports, choose Excluding VAT or Including VAT under Invoice amount. Missing payment dates cannot be placed in a dated report. Check imported dates against your accounting system: some imports recorded the sync date when the original payment date was unavailable. Credit notes and refunds need their own reconciliation; these starters are not net cash receipts.

The choice belongs to each saved report; it does not change another board or Plecto delivery. You can refine the date, status filters and amount in the builder before saving, and edit the saved report later. Review the conditions before saving; changing the currency filter selects records in that currency, it does not convert their amounts. These starters credit the primary owner. To credit another role, choose the appropriate user field under Group By.

With one measure, a time grain and a grouping field, Table shows a matrix: periods down the side, groups across the top. Sums and counts include totals; averages and distinct counts do not, because adding those cells would give the wrong answer. Empty cells mean there was no returned value, not a confirmed zero. Very wide matrices use the regular table so all results remain available. Time-based reports include complete periods; if the result is too large, shorten the period or use a broader time grain when prompted.

Meeting and latest-record boards

Choose Count meetings by before opening Monthly meetings or Weekly meetings by owner. Recorded booking date counts non-cancelled meeting activities by their recorded creation date. Imported creation dates can reflect the import rather than the original booking. Scheduled meeting date counts them by scheduled start date; this does not prove attendance. Change Group By to your booker or KAM field when that is the role you want to credit. Tenant-specific meeting types and business lines can be added as filters in the builder.

Latest records this month lists this month's qualifying opportunities or invoices, newest business date first, using the revenue basis you selected. Change the period or add columns in the builder. This is a record list, not a complete-period aggregate; the report shows when its row limit is reached.

Present several reports together

Pin saved reports, then choose Present pinned reports. Select Reports per page and Page duration to show one, two or four reports per page and rotate between pages. Pause rotation stops rotation; visible reports continue refreshing every minute. Each tile shows its last successful update. Failed refreshes show an unavailable state instead of continuing to display old figures as current. Open a tile's title to inspect the report; reports that ask for values must be opened individually.

This board uses your signed-in session and your report permissions. It creates no public link. Keep using Public Displays for unattended public screens and Momentum for competitions and celebrations. A saved-report dashboard widget also has Open report to reach its underlying report.

ARR, MRR or subscriptions over time

Summing ARR over Subscriptions by month gives the ARR that *started* in each month, which goes up and down. For the total ARR you had at each month end, which grows with every new subscription and drops when one ends, add the measure From the metrics library and pick ARR over time, set the report to monthly, and show it as Line. MRR over time and Active subscriptions over time work the same way.

A subscription counts in a month when it had started by the month's last day and had not ended before it, so one that ended in March still counts in January and February. The current month is measured as of today. Trials, and subscriptions marked as stopped with no end date, are left out. Amounts are added up in each subscription's own currency, not converted.

Registry measures and formulas follow the report conditions for the selected record type. For subscription amounts, filter to one currency before comparing periods; the filter selects that currency without converting amounts. A measure over another record type keeps its own conditions. Historical subscription amounts use the currently recorded ARR or MRR, not a price-change ledger.

Build and refine with Dealy

Open the custom report builder and choose Build with Dealy to describe the report in your own words. Dealy discovers the same fields, related-record fields, custom-field types and metric library as the report builder. You can ask for multiple measures and formulas, calendar trends, a table of individual records, AND/OR conditions, rolling periods, or questions to answer whenever the report runs. The builder's existing rules for combining these options still apply.

An exploratory request produces a visible draft marked Not saved yet. Refine it in conversation, or choose Review in report builder to continue in the regular builder, opened directly from Dealy, with its settings intact. An explicit request to create or save a report saves it to the custom reports tab and links directly to it. If a report asks for values, supply answers to preview it; those answers are not stored as permanent filters.

Choose Refine with Dealy inside the builder to pass the current unsaved settings to a new Dealy conversation as an attachment; you can describe changes without technical settings appearing in the message. You can also ask Dealy to find and change a saved report by name. Dealy reads its complete settings first and preserves settings you did not ask to change. Only its creator can edit or delete it; a colleague's visible report can be copied as a new private report. Ask to share with selected colleagues or the whole team, or configure scheduled delivery as described in Email figures to yourself or your team on a schedule. Scheduling uses the same recipient, period, timezone and delivery rules as the reports page, including the answers needed by a report with runtime questions. Access to reports and financial data follows your role in the app.
