Make a report ask you for a value when it runs

Some reports are the same question asked over and over about a different record. "What did we sell on project 786" is followed next week by the same question about project 354. Saving one report per project is unmanageable, so a condition can be left blank on purpose and filled in each time the report runs.

Set the question up

  1. 1Build the report as normal (see Build a custom report) and add the condition you want to vary. Pick the field and the comparison exactly as you would for a fixed filter.
  2. 2Tick Fråga mig om detta när rapporten körs on that condition. The value box is replaced by two boxes about the question itself.
  3. 3In the first box, name what you are asking for. Write what the person running the report will recognise, for example Project ID, rather than the raw field name.
  4. 4The second box is a Startvärde (valfritt). It fills the box in for whoever runs the report, and they can type over it. Leave it empty if there is no sensible starting point.
  5. 5Save the report.

The field and the comparison stay locked to what you chose. Whoever runs the report supplies the value and nothing else, so a shared report cannot be turned into a different report by the person running it.

Run it

Opening the report shows Fyll i innan du kör with a box for each question. Fill them in and choose Kör rapport. Press Enter to run without reaching for the mouse.

To run it again for the next project, choose Ändra värden above the report, type the new value, and run. The previous answers are still there to edit, so the second and every later run is one field and one click.

In the gallery, a report that asks for something carries an Frågar dig först badge, so you know before you open it.

Emailing one on a schedule

A scheduled email goes out with nobody watching, so nobody can be asked. When you schedule a report that asks for a value, the schedule dialog shows Värden den skickas med and requires an answer for every question. That answer is stored on the schedule and used on every send.

You cannot save such a schedule with the boxes empty, and if the report is later changed to ask for something new the send stops with an explanation rather than going out. This is deliberate: a blank filter would silently mean "every project", and the email would look normal while carrying the wrong numbers.

Notes

  • A report that asks for a value cannot show data on a dashboard card, for the same reason a schedule cannot: a card has nobody to ask.
  • Two conditions can share one question. Give them the same name and the answer is applied to both, which is how you filter two different fields on the same project number without typing it twice.
  • "Is empty" and "is not empty" compare nothing, so they cannot ask for a value. The tick box is not offered on them.
