Put any field from any record into a contract template

A contract template can print any field your CRM holds. In the template editor, the Dynamiske felter list on the left ends with Alle feltene på alle poster: every record type in your workspace, including record types your company created, each with all of its standard and custom fields. Open a record type or search, then click a field to insert it where your cursor is in the contract text.

A field made just for contracts. Add a custom field to the record type it belongs to and fill it in on your records. It appears in the list straight away, with no change to the template or any setting.

Which record a value comes from. A contract is generated from an opportunity, so:

  • opportunity fields come from that opportunity;
  • customer and contact fields come from the opportunity's customer and contact;
  • any other record type uses the record linked to the opportunity, or else the one linked to its customer, or else the one linked to its contact. When several are linked, the most recently updated one is used.

A record counts as linked when it points at the opportunity, customer or contact, either directly (a project or invoice on that customer) or through a relation field.

Blank values. A field with no value, or a record you do not have access to, prints as nothing rather than as a placeholder. Values are copied when the contract is generated, so a later change to the record needs the contract generated again. Check the preview under Velg kontraktmal before sending: Email the offer to the customer.

Pictures made to fit your offer. On Design, use Generer bilde beside Toppbannerbilde (valgfritt) or Bakgrunnsbilde (valgfritt). The selected space determines the image shape. Write your description, generate a preview, then choose Bruk bildet to insert it. The same controls are available when customising an offer before generating it. Save the template or generate the offer as usual to keep the change. AI must be enabled for your company and available to your user. Credit use and reviewing the result are explained in Have AI write or change a document.

Numbers in front of section headings. Each text section prints its heading with its position, such as "1. Terms". To print the heading on its own, open the Innhold tab and untick Nummerer seksjonsoverskrifter, then save the template. The setting belongs to the template, and the offer and its PDF follow it the same way. It is useful when your first section repeats the document title.

The currency on every price line. By default each unit price, discount, offer price and line total in the product table ends with the currency, which is the same word four times on every row and leaves the product text little room. Untick Vis valuta på hver linje under Dokumentinnstillinger to print the lines as plain figures. The totals underneath always keep the currency, so the offer still says which money it is in, and the page the customer opens and the PDF they download follow the template together.

A compact, letter-style header. By default the top of the document shows a large centred logo, the company name and the header text. Open the Design tab and set Toppoppsett to Kompakt (tittel til venstre, liten logo til høyre) for the look of a business letter: the Overskriftstekst becomes a left-aligned title, for example "Ordrebekræftelse", with a small Firmalogo in the top right corner and no company name heading. Switch on Skjul linjen med dokumentnummer to also remove the line with the document title and number under the header; it works with either layout.

The sale name and the status at the top. Every document prints the sale's name as a heading above your first section, and the page the customer opens shows the document's status at the top. Both stay, whichever header layout you choose, until you switch them off on the Design tab, next to Toppoppsett. Switch off Vis salgets navn som overskrift to leave the sale's name out of both the page and the PDF. Switch off Vis status øverst to take the status off the customer's page; in the compact header the line under it goes too, so the logo sits alone above your content. The PDF never prints a status, and you still see it everywhere inside DealJourney.

The details block at the top. Under the header, a generated contract prints two short columns: Kontraktdetaljer-tittel with the contract number, the sale's name, the created date, the expiry date and, once signed, the signed date; and Kundeinformasjon-tittel with the customer, the contact person and their email address. The rows are fixed. You can rename them and switch each one off, but you cannot add a row to this block, so a phone number cannot go into it. Both are on the Etiketter tab under Kontraktdetaljer-etiketter: type your own wording in a row's box, or untick Vis denne raden på dokumentet beside it. Slå av en rad for å utelate den helt fra dokumentet. A column with every row switched off loses its heading too, and with both empty the whole block is left out.

To show a phone number, or any other detail, put it in a section instead. On the Innhold tab, add a table to the first section with Tabell, type a label such as "Phone" in the left cell and insert the customer's or contact's phone number as a dynamic field in the right one. Sections print below the details block. To have your own details block on top, switch every row of the built-in one off and build the whole block as that table.

The font. On the Design tab, under Sideoppsett, Skrifttype sets the font for the page your customer opens and for every PDF of it, so the screen and the file match. Standard is the font every offer used before. The choice is kept with each offer when it is created, so offers you have already sent keep their font; new ones use the new one. Ask DealJourney if your brand uses a font that is not in the list.

Hide the totals. On the tab with the line item labels, the Engangstotalt, Månedlig gjentakende etikett and Kontraktsverdi-etikett labels each have a switch beside them. Switch one off to leave that line out of both the page the customer opens and the PDF. The one-time total goes from under the one-time table and from the summary, and so does the recurring total (one switch covers it whether the template shows it per month or per year); the contract value goes together with the calculation shown under it. The prices on each line stay, and nothing is recalculated: the lines are only hidden. To hide the total on each product line instead, switch off that column in the column settings.

The PDF's file name. Under Filnavn for PDF on the same tab, type the name the downloaded PDF should have, such as "Ordrebekræftelse". Add {number} to include the quote number or {customer} to include the customer's name, for example "Ordrebekræftelse {number}". Characters a file name cannot contain are removed, and ".pdf" is added for you. Leave it empty to keep the usual name: the document title followed by the number.

Tables in a section. To lay details out side by side instead of as a long list, click Tabell in a section's toolbar on the Innhold tab and choose Sett inn tabell (2 kolonner). Type a label in the left cell and the value, or a dynamic field, in the right one. Use Legg til rad and Fjern rad with the cursor inside the table to change its size. The table prints without borders, so a label and value table reads like the details block of a letter.

Place a line left, centred or right. Put the cursor in the paragraph, heading or bullet you want to move and press one of the three alignment buttons in the section's toolbar. A short note such as "All prices exclude VAT" can sit centred under the price table, or hard right beside it. The alignment you choose is what the customer sees on the offer page and in the signed PDF.

Your own logo or a picture inside a section. Put the cursor where the picture should go, for example in an empty cell of a table at the top of the first section, and press Sett inn bilde in the section's toolbar. Choose a PNG, JPG, GIF or WebP file; a transparent logo stays transparent. Click the picture to choose its size, Liten, Middels, Stor or Full bredde, each a share of the width it sits in, or Original størrelse, and to place it left, centred or right. The picture shows on the offer page, the signing page and in the PDF at the same size and place. Pictures from a web address cannot be used: upload the file instead.

Every setting above belongs to the template. A contract keeps the template as it was when it was generated, so generate the contract again to see a change.
