Reading and sending mail inside DealJourney

Once your mailbox is connected, the E-post tab is that mailbox, with your CRM beside it. The Innstillinger tab next to it is where the connection itself is managed: Connect Outlook or Microsoft 365.

Mailbox privacy. New mailbox connections are personal. Colleagues cannot read your private synced inbox or browse it when searching for email to add to a customer. Only the mailbox owner can manage its connection or start a sync.

To share a mailbox intended for your team, expand your account in Innstillinger and turn on Del e-post med alle i dette arbeidsområdet. Read the warning, tick Jeg forstår at alle i dette arbeidsområdet kan lese denne innboksen., then press Del innboks. Everyone in the workspace can then read existing and future synced mail. Turning the switch off makes the inbox private again. Calendar visibility is a separate setting.

Email you deliberately file onto a shared CRM record remains on that record; turning off inbox sharing does not remove correspondence already filed there.

Folders are the ones you already have: Innboks, Sendt, Utkast, Søppelpost, Papirkurv, or Alle mapper.

Writing. Skriv for a Ny melding, or Svar and Videresend on a message.

Writing to more than one person. Til takes several addresses separated by commas, and the buttons beside it add CC and BCC. You do not have to know the address: start typing a name or an address in any of the three and the other people at that company are offered as you type, so you can pick them from the list. Click into an empty field to see everyone on file for the company, and keep picking to add several. If the message greets people by name, each addressee gets their own copy with their own name in it; a message with no personal greeting goes out as one email that everyone on the line can see.

Maler inserts a saved template with the customer's details already filled in — Begynn å skrive eller velg en mal for å se forhåndsvisningen… See Create an email template.

A reminder to chase it. When you write from a customer, contact or deal, tick Opprett oppfølgingsaktivitet at the bottom of the email and pick a day (it suggests three days out, moved off a weekend). Once the email has been sent, or scheduled, a task named after the email is added to the same customer, contact or deal and given to you, so it shows up in your activities on that day. If the email does not go out, no task is made. Writing from a lead, or to many people at once, does not offer it, because there is no record for the task to sit on.

When writing from a customer's page, the contact name comes from the contact matching the recipient's email address, even if that contact has not been linked to this customer. The customer's details still describe the customer whose page you opened. If a template still needs details that cannot be found, sending and scheduling stop so you can fill them in before the email goes out.

The point of reading mail here is that the message and the record are in the same place: you reply with their deal, their open tickets and their last five conversations visible, instead of switching windows and guessing. Mail sent from here lands on the customer's timeline, so the next person sees it.

Mail sent from your normal mail client does not appear unless the sync picks it up. If a colleague says "I emailed them last week" and the timeline is empty, that is usually why: Emails are not appearing on records.

Bringing history in. Importer Gmail-tråder — Søk og importer e-posttråder fra Gmail-kontoen din — Søk i tråder, select, and Importer {{count}} tråd(er). Worth doing once for your important accounts when you first connect, so their history does not start on the day you signed up.

Tidying up. Tick the box on the left of any message, or the box at the top of the list to take the whole page, then use the bin icon and confirm with Slett fra DealJourney.

This is a DealJourney-side clean-up and nothing more. The message is left exactly where it is in Outlook or Gmail, so a mail you clear here is still in your real mailbox and still findable there. It stops showing in the E-post tab and on the email tabs of customers, contacts and deals, and it stays gone: the next sync will not bring it back. Deleting is per person, so clearing your own view does not change what a colleague sees, and mail in a shared mailbox is cleared for everyone who uses it. There is no undo inside DealJourney, but since the original is untouched you can always pull it back in with Importer {{count}} tråd(er).

Conversations on a record. The Email tab on a customer, contact, lead or deal shows one row per conversation rather than one per message. A row for a back-and-forth names the latest subject, who wrote, when the last message came and how many messages it holds. Click the row to open the conversation: every message is listed top to bottom, oldest first, and clicking a message opens it in full. Messages count as one conversation when your mailbox says they are, or when their subjects match once "Re:" or "Fw:" is taken off. The tick box on a conversation row selects all of its messages, and its bin removes the whole conversation from that record.

Removing one email from a single record. The Email tab on a customer, contact, lead or deal has its own bin on the right of each message, and tick boxes on the left if you want several at once. That one is narrower than the inbox bin: it takes the message off that record, and again touches nothing in Outlook. What happens next depends on where the message came from. One you imported keeps its copy in the inbox, so you can bring it back with Importer {{count}} tråd(er). One that was sent or logged from DealJourney only ever existed on that record, so removing it there removes it for good.

Personal or shared mailbox is a decision made at connection time: Koble til din egen Gmail- eller Outlook-konto or Koble til en delt teaminnboks. A shared support address belongs in tickets rather than here: Set up the support desk.

Keep a logged email attachment. Open the email on a record's timeline. Beside an attachment, Lagre i dokumenter copies the original file into that record's documents using your workspace's connected storage. The file keeps its name, extension and contents; the original remains on the email. The normal record-folder rules apply, including contacts without a company. You need permission to create documents on that record.

Once saved, Åpne lagret kopi opens the provider's saved copy. With SharePoint or OneDrive this is the Office web link; with Google Drive it is the Drive link. Access and editing remain controlled by your connected provider. The original attachment button still downloads the original file. Saving is an explicit action; opening the email alone never uploads files. See Record folders.
