Merge fields in a document
A merge field is a placeholder that becomes real data when the document goes out. Write the contract once with merge fields, and every send is correct without anybody retyping a company name.
Inserting one. Infoga ett kopplingsfält — Välj en kategori och sedan ett fält. Det fylls i med det riktiga värdet när du skickar. The picker shows t.ex. {{example}} so you can see what you are getting, and once placed, Fylls i med: {{token}} tells you exactly which value it resolves to. Klicka för att ändra eller ta bort.
Inside a field you fill in yourself, the same choice is offered: Skriv ett värde eller infoga ett kopplingsfält, with Skriv ett värde i stället when this one document is a special case.
Merge field or fillable field — this is the distinction that matters.
- A merge field is filled from the CRM *by us*, before the document is sent. The signer never sees a blank.
- A fillable field is a blank *the signer* completes. See Fields, and who fills each one.
Asking the customer to type their own company name when you already have it is the most common way to make a professional document look careless.
The categories are the CRM's own: Leverantör (du), Kund, Kontaktperson, Affärsmöjlighet and Avtal och datum.
Blank merge fields. A merge field resolves to nothing when the record it points at has nothing in it — an empty organisation number stays empty. The fix is on the record, not in the document. Always preview before sending — Visar exempeldata så att du ser hur det ser ut. De riktiga värdena fylls i när du skickar. and Det här är filen din motpart ser. Deras fält fylls i när de signerar.
On a copy you download to sign by hand, a merge field with nothing behind it prints as a ruled line to write on instead of as its placeholder text. See Arrange a document — blocks, parties and printing it out.
The same idea runs through email templates, where the pitfalls are written up in more detail: Merge fields come out blank or show as {{...}}
