Build a report that lists records, not totals

Most reports answer "how much". A report with Kolonner answers "which ones": one row per record, with the fields you pick, exactly like the customer or contact table.

  1. 1Open Rapporter and start a new custom report as in Build a custom report.
  2. 2Pick the Datakilde you want to list.
  3. 3Under Visualisering choose Tabel. A Kolonner card appears underneath it, already filled with the usual columns for that kind of record, and the preview lists the records straight away.
  4. 4Change the columns with Vælg kolonner. It is a checklist that stays open: tick as many as you like, search to narrow it, and Tilføj alle {{n}} viste adds everything the search shows in one go. Use the arrows to put them in the order you want to read them. Brug de sædvanlige kolonner puts the starting set back, and Fjern alle empties the card.
  5. 5Narrow it with Tilføj betingelse the same way as any other report, and set Sorter efter to whichever column should decide the order.
  6. 6Save it, and it behaves like every other saved report: share it, pin it to a dashboard, or email it on a schedule.

Adding the first column changes what the report answers. With no columns a table report shows totals, which is what it has always done. With columns it lists records instead, so metrics, grouping and the time grain no longer apply and their cards come off the panel.

Every field you can pick can also be filtered on. The column and condition pickers only offer fields the report can actually use.

Start from a list view you already have

If you have a saved view on the customers, contacts, leads, deals, activities, subscriptions, orders or tickets list, you do not have to rebuild it. With Tabel chosen, pick it under Start fra en listevisning: its columns, their order, its sort and its filters come across. The view you last had open on the list page is at the top. It replaces the columns and conditions already on the report.

Not everything on a list has a match in a report. Date filters are set with the report's own time settings instead, and a few list-only columns have no report field. When anything is left out the card says how many, so you know the report may not list exactly the same records as the list.

A report on one kind of record can show fields of the records it is linked to: the customer's name, industry or city on a deal or an activity, the contact's name and email on a deal, the deal's stage or value on an activity, and the owner's name on most records. They are listed in the picker under Kunde, Kontakt, Salg and Ansvarlig, including the customer's, contact's and deal's own custom fields. Product-line and revenue-split reports read their deal, customer, contact and owner the same way, so a report of product lines is not limited to the deal details each line already carries.

You can also filter on them, for example deals whose customer is in a given industry. They cannot be used to sort, group or total a report, because that would mean looking up the linked record for every row before showing any.

Totals under the table

When a column holds numbers, a I alt row under the table adds it up. It totals every record the report matches, not only the rows on the screen, so a report showing 500 of 12,000 deals totals all 12,000 and says so underneath. The rows appear first and the totals fill in a moment later.

Amounts in different currencies are never added together. When deals, invoices or quote lines are in more than one currency, there is one total row per currency instead of a single sum that would not be money in any of them. To get one number, add a condition on the currency.

An activity's deal value is listed but not totalled. Several activities on one deal would count that deal several times over.

A report on quote lines also totals per product. Open I alt pr. produkt under the table for the quantity and line total of each product, per currency, largest first. See Report on the products you have sold for building that report.

If the totals cannot be calculated the report says so. The rows above are not affected.

Acting on the records in a report

On a saved report or a preview that lists customers, contacts, leads, deals, quote lines or activities, every row has a tick box. Tick the rows you want, or the box in the header for every row shown, and a bar appears with what those records allow. It works the same way as selecting rows on a list page, see Act on many records at once.

  • Redigér felter sets one field to the same value on all of them. It is the same mass update as on the list page and needs the same permission; people without it do not see the button.
  • Send e-mail opens the email composer with one message per customer, contact or lead, each filled in with that record's own details. Records without an email address are left out, and you are told how many.
  • Opret aktiviteter creates one activity per customer, contact or deal, linked to it, with the type, headline, due date, assignee and note you choose. Leave the headline empty to name each one after its record. The person you assign them to gets one notification for the whole batch, and anything that could not be created is listed when it finishes.

A report on quote lines acts on the deals behind the lines, so two lines of the same deal count as one deal. Leads cannot have activities and deals have no email address of their own, so those buttons are not offered there.

The table does not refresh itself after an action. Run the report again to see the changed values.

Limits and access

A report is a page, not the whole list. It returns as many rows as the row Rækkegrænse allows. When more records match, it says how many matched in total. Raise the limit or tighten the conditions rather than assuming you are looking at everything. Bulk actions apply to the rows you ticked, never to records the page did not show.

Money is only visible to people who may see money. A report listing deals, invoices, subscriptions or orders needs the same access as those pages themselves, whoever opens it and whoever it is emailed to. The totals follow the same rule. That includes a deal's fields shown on an activity report.

Eksporter gives you the same rows as a spreadsheet, in the column order you chose.

When you only want to look, not to save, The Explore tab does the same job without creating anything, and a list page's own saved view (Save and share a view) is the right home for a set of filters you use while working rather than one you report on.

Inspect the records behind a chart value

Click a bar, pie slice, curve point or table cell to open Posterne bag denne værdi. The private panel keeps the report's resolved period and conditions, the selected group and time bucket, and the matching total. Groups with the same displayed name remain separate; an empty group shows only records with that empty value. Quote lines and credited revenue shares open the sale they belong to. The contribution column keeps each share. Resource rows open the capacity board at the row's person and day. The board keeps the rest of the team visible and highlights the selected person.

Use Eksportér alle poster for every matching record, including later pages. An average, distinct count, minimum or maximum uses that operation for the total; adding its row values would give a different answer. Records can change after a chart runs, so the panel identifies a changed total. Run the report again after changing workspace or when its private run expires.

For a library metric or formula, Værdien i rapporten keeps the value from that report run. Choose one of the calculation's named measures to inspect its own records and total. A ratio can have a different population in each part; adding those parts is not the calculation. Their records and totals reflect the current matching records. A running measure also shows the date used for its running total, so a subscription that began earlier can still belong to the selected month. A constant calculation has no source records. The panel also shows the calculation itself alongside its named source measures.

The complete export is prepared from one consistent snapshot. It includes all matching rows, and a failure does not deliver an incomplete file.
