Save and share a view

A saved view is a filter you set up once and reuse. It is the difference between rebuilding the same five conditions every Monday and clicking one item in the sidebar.

  1. 1Set up the filters you want on the list page until it shows exactly what you need.
  2. 2Click Lagre som visning.
  3. 3Give it a name that says what it shows: "Nordjylland, open" is useful, "My view 2" is not.
  4. 4Tick La andre se og bruke denne visningen if the team should have it too. Leave it off and the view stays personal.
  5. 5Save.

Saved views appear under their list page in the sidebar, so a shared view becomes part of how the team navigates rather than something people have to be told about.

If a list has so many views that the sidebar gets long, you can show them as a row of tabs above the list instead. Open your profile, go to Personlig tilpasning, and set Lagrede visninger to Faner på listen. Each list then opens on Alle, followed by one tab per saved view, and the sidebar stops listing them. Use Legg til ny visning at the end of the row to save the filters on screen as a new view, and the arrow on a tab to rename it, give it an icon, share it or delete it. The choice is yours alone; colleagues keep whichever layout they picked. Sales sequences keep their views in the sidebar either way.

The lists inside a record, such as the activities on a customer card, have saved views of their own, kept with that list rather than in the sidebar. See Choose columns on a list inside a record.

A view stores the rule, not the records that matched when you saved it. Open it next month and it shows whatever matches then, which is what makes a view like "not contacted in 90 days" worth having.

To change a view, open it, adjust the filters, and save it again. To remove one, use the delete option on the view itself. Deleting a shared view removes it for everyone, so check with the team first if it is one they use.

Who can change or remove a view:

  • A personal view belongs to the person who made it. Nobody else sees it.
  • A shared view can be changed or removed by the person who made it and by any administrator of the workspace. That way an administrator can tidy up shared views a colleague left behind, including ones a starter pack added.
  • Everyone else can use a shared view but not change or remove it.

Renaming a view, changing its icon or removing it updates the screen immediately while the change saves. If saving fails, the previous saved version is restored and a message tells you to try again. Rapid edits are saved in the order you make them.

On lists with a row of saved-view tabs, drag a saved tab onto another to reorder it. In the issue tracker, the default tabs can also be moved, so you can mix them with your saved views. The selected view stays open while you rearrange the row. Your order is personal and saved with your page preferences. You can also focus a tab and press Alt+Left or Alt+Right to move it one position.
