See what a colleague does and whether they still use it
Opening someone. In Admin go to ⟦User Management⟧ and click the person's row. That opens their profile: contact details, job title and department, which teams they are in, and what they are responsible for in the CRM.
Are they actually using it. The list has two columns that answer this, and they answer different questions. ⟦Last active⟧ is the last time the person did anything in DealJourney at all. ⟦Last login⟧ is the last time they signed in, which stays old for anyone who never signs out. Sort on Last active to bring the quiet accounts to the top; anything dormant for months is shown in amber. A seat that has never been used is a seat you are paying for, so this is the column to check before renewing.
Before someone leaves. Open their profile and read What they are responsible for. It counts the customers, leads and open deals they own plus their open and overdue tasks, so you know exactly what has to be handed over. Reassigning after they are gone is much harder, because records with a departed owner drop out of the "my records" views the rest of the team works from.
Their personal details. Job title, department, work and mobile number and birthday all live on the person and are shown here. To change any of them, use Edit User from the row menu in the user list. Roles and access are changed there too, not on this page. See Add users and set what they can do.
