Text the customer about a job

Most people who buy service work read a text and never open the email. A text about a visit can carry the same details as the confirmation email: when somebody is coming, where, and who it will be.

Who it goes to. The job's contact person, and when the job has none, the number on the customer record. That is the same order the email from a job follows, so one visit never texts one person and emails another. A job with neither has nobody to text: the text button stays greyed out and says why when you point at it. Anyone who has opted out of texts, or a contact person who has unsubscribed, is not texted, and you are told so.

1. By hand, from the job. Open the job and use the text button at the top of the page. The number is already filled in, and under it the window says whether it is the contact person's or the number on the customer record. When it comes from the customer record, tick the line confirming the name and number before you can send. Under Sammanfogningstaggar the Uppdrag group holds the visit's own tags:

  • {{oppdrag_nummer}} and {{oppdrag_tittel}}
  • {{oppdrag_dato}}, the day of the visit
  • {{oppdrag_klokkeslett}}, the time it starts
  • {{oppdrag_tid}}, the day and time together
  • {{oppdrag_adresse}}, the address of the site
  • {{oppdrag_status}}, the job's status in your own words
  • {{montor_navn}}, the first name of the person going
  • {{var_bedrift}}, your company's name

The time is shown in the customer's own local time.

2. Automatically, when the job reaches a status. In the job settings, tick the box on a status and write the message the customer should get. Every job that reaches that status texts the customer once, so "on the way" and "the visit is booked" need no rule at all. One job is texted at most once every ten minutes, so moving it through three statuses in a row does not send three texts.

3. From a workflow. Start a rule on Uppdrag and add the Skicka SMS step. Leave the number blank: on a job it uses the contact person's mobile, else the number on the customer. Write the message with the same tags as above.

For a reminder the day before a visit, use Remind the customer and the technician the day before a job instead: it is switched on per kind of job and needs no rule.

A text is billed per message part, and one character outside the standard alphabet halves what fits in a part. Write plain text and skip fancy punctuation.
