Create activities for a whole list at once

A call round, a renewal sweep, a campaign follow-up: the work is the same on every record, and the only thing that differs is who it is about. Rather than opening each company and adding a task, you can filter the list down to the records you mean and give all of them an activity in one go.

Doing it

  1. 1Open Kunder, Kontakter or Tilbud from the sidebar.
  2. 2Narrow the list to the records you want, by search or filter. See Search, filter, and save customer views.
  3. 3Tick them. Ticking every match of a filter works too, not just the rows you can see on screen.
  4. 4Choose Opret aktiviteter from the actions above the list.
  5. 5Fill in what every new activity should say: - Aktivitetstype - a call, a meeting, a task. - Overskrift - leave it empty and each activity is named after its own record instead. - Deadline and Status. - Ansvarlig - see below. - Note - optional, and it lands on the timeline of every new activity.
  6. 6Press the create button. The dialog counts up as it works and tells you how many were made.

Sharing the work out between colleagues

Ansvarlig takes more than one name. Pick one person and they get all of them. Pick several and the batch is shared out evenly between them, in list order, and the dialog tells you exactly how many each will get before you press anything. Three hundred companies over four salespeople is seventy-five each.

Leave it empty and the activities are created with nobody responsible, ready to be picked up.

Everyone who gets a share is told once, about their own share. Nobody receives one notification per activity.

What each activity is linked to

Each new activity is attached to the record it came from, exactly as one you create by hand would be:

  • From the company list, to the company.
  • From the people list, to the person and to their company, so it shows on both timelines.
  • From the deal list, to the deal and to its company and contact.

Because they are made the same way a single activity is, anything your workspace does when an activity is created - an automation, a notification - happens for these too.

Good to know

  • It creates activities, it never changes existing ones. Run it twice on the same list and you get two activities per record.
  • A record someone else deleted while you were working is reported as skipped rather than silently dropped.
  • The same action sits on a saved report's results, so you can plan a round straight from a report instead of a list.
  • The lead list does not offer it. An activity has no link to a lead, so one created there would belong to nothing. Convert the lead first and the company or person it becomes can have activities like any other.
