What lands in the CRM when someone books

The four choices

It recognises people you already have

This is the part that matters, and it is why the setting is called an action rather than "create a record".

The search is never limited to the type the link creates. A link set to Opprett et lead still recognises someone who is already one of your contacts, and attaches the booking to that contact rather than starting a second, parallel record for the same person.

How the company is worked out, in order:

  1. 1The company already on the contact we recognised.
  2. 2A customer whose own email address matches the invitee's.
  3. 3The invitee's email domain, when exactly one customer uses it, either on the customer itself, or through a colleague already filed under it.

Personal mailbox domains such as gmail.com are ignored for this, since they say nothing about who someone works for. If two different customers share a domain the company is left blank rather than guessed, because a meeting on the wrong company's card is worse than one with no company at all.

Where the booking shows up

  • On the person's timeline, as a scheduled meeting.
  • On the company's timeline too, when a company was worked out. This is what makes a booking visible to whoever watches the account, not just to the host.
  • In the meetings list on that record. See the meetings on a customer, contact or activity covers that list.

Anything the invitee typed into the notes box on the booking page is added as a note on the timeline, in full, attributed to them. It is not squeezed into the notes field on the edit form, so it reads as what it is: something the other person said.

Cancellations, reschedules and no-shows post to the same timeline, so the record tells the whole story rather than only the happy path.

If a booking did not attach to the right record

The most common reason is that the person booked with a different email address than the one on their record. Add that address to the record, or link the contact to the customer by hand. Add a contact to a company covers linking a person to a company. Bookings from then on will find it.

A phone number on its own is never enough to attach a booking to someone: work numbers are shared, so the name has to agree as well. That is deliberate, and it is why a switchboard number does not pull every colleague's booking onto one person.
