Email the offer to the customer
An opportunity with priced lines on it can be turned into an offer document and emailed to the customer in one go, without saving a PDF to your machine first.
- 1Open the opportunity and add the lines you want to charge for. The document is built from those lines, so if they are wrong the offer is wrong: Add products to an opportunity.
- 2Click Generera kontrakt. A dialog opens listing the offer templates your company has set up.
- 3Pick the template you want.
- 4Click Generera och skicka via e-post.
DealJourney builds the document and immediately opens an email for you. You get the usual composer: recipient, copy and blind copy, subject, an email template to start from, and a body you can edit. The customer's email address is filled in from the opportunity if we have one. Send it, and the offer is on its way.
Under Inkludera you choose how the email carries the offer: Kontraktslänk, PDF-nedladdningslänk, and Bifoga kontraktet som PDF. You can tick more than one, and the email follows what you tick. If your email template already has a button or link to the contract, it stays where the template put it and is never added twice. Untick Kontraktslänk and that button is taken out of the email. Tick a link your template does not have, and a short line with the link is added for you, right under the contract button when there is one. The preview shows the result before you send. The last option attaches the document itself as a PDF file, named after the document, for customers who would rather not click a link. It is off until you tick it, and it is only offered when the email goes to one recipient, because attachments sent to several people are more likely to be caught by spam filters. If the PDF cannot be created, nothing is sent and the composer tells you, so you can try again or send it with links only.
To change the reusable covering email, click Redigera e-postmall next to the email template. Edit its subject and message, then Spara ändringar. The editor starts from the template's original text and merge fields, so it does not save this customer's name into future emails. Saving updates the current message and the template used for future contracts. Other contracts using the same template get the change too. If you only want to change this one email, edit the message directly in the send window instead.
The contract template's email settings offer the same Redigera e-postmall button for sharing, suggestions, acceptance and rejection messages. It opens the selected email, or the workspace's latest email of that kind when the default is selected. If none exists, it starts from the built-in message and saves your own copy. Save the contract template afterwards to keep its chosen email.
If you would rather look at the document before anyone sees it, use Generera med vald mall instead. That produces the same document and stops there, so you can read it, and send it afterwards from the opportunity.
The other two buttons in that dialog do something different. Anpassa och generera lets you change the wording and the columns for this one offer before it is built, and Generera utan mall produces a plain document with no company template applied.
Once it is sent, the offer keeps its own status on the opportunity, so you can see whether the customer has opened and signed it, and you can send a reminder: Track a document and chase a signature.
The same status is shown on the opportunity card in the pipeline and on the offer card inside the opportunity, and it always means the same thing:
- Utkast: the document has been produced but has not gone to the customer yet.
- Skickad: it has been sent, and this offer has no online signing step, so nothing further is expected in the system.
- Väntar: it has been sent and the customer can accept or sign it online, but has not done so.
- Undertecknad: the customer accepted or signed it.
- Avvisad: the customer declined it.
Whether an offer can be signed online is decided by the contract template, so an offer built from a template without a signing step goes straight to Skickad and stays there. If you sent the offer from your own mail program rather than from DealJourney, use the mark-as-sent action in the send dialog so the status follows.
