Create an email template

  1. 1Open Templates from the sidebar.
  2. 2Create a new template.
  3. 3Give it a name colleagues will recognise in a picker, and choose the category that matches when it should be used: the category is what floats it to the top in the right situation.
  4. 4Write the subject and the body.
  5. 5Insert merge fields from the picker wherever a personal detail belongs, rather than typing names in by hand.
  6. 6Preview it against a real record to check the merged result.
  7. 7Save.
  8. 8Use Send test in the editor to mail yourself a copy, so you can see how it actually lands in an inbox.

A test send does not need a contact, a customer or a deal behind it. Merge fields are filled with sample values, and any field with no sample shows its own name in square brackets, so you can tell at a glance which detail would have gone where.

To make a variation of something that already works, duplicate the existing template and edit the copy. Templates are shared company-wide, so editing the original changes it for everyone using it.

Keep the subject short and put a merge field early in the body: a template that opens with the recipient's own name or company reads as written for them rather than blasted at them.
