Link a meeting to a customer, person, lead or deal
A meeting booked in Outlook or Google arrives with no idea which customer it was about. Most of the time DealJourney works it out from who was invited (See the meetings on a customer, contact or activity), but not always: you met someone on their private address, the deal is not a company yet, or the meeting belongs to a deal rather than to the company as a whole. When that happens you can say so yourself, after the meeting has already been synced. You can start from either end: the record or the meeting.
From the record
- 1Open the customer, person, lead or deal and go to its Møter tab.
- 2Click Koble eksisterende møte.
- 3Your calendar opens as a list, with the meetings closest to today at the top. Type in the search box to narrow it by title, place or attendee.
- 4Click the meeting.
It appears on the tab straight away. The list covers roughly the last four months and the next three, and leaves out meetings the record already shows.
From the calendar
- 1Open Kalender and click the meeting.
- 2In the Koblet post panel, choose what kind of record it was about: a customer, a person, a lead or a deal.
- 3Search for the record and pick it.
Either way, the meeting attaches immediately, and from then on it is listed on that record's Møter tab alongside everything else you have met about.
Moving or detaching a meeting
A meeting is linked to one record at a time. Picking a meeting that is already linked elsewhere moves it to the record you are on. From the calendar side, pick a different record to move it; to detach it, clear the link with the small cross next to the record's name. Clearing the link does not delete anything: the meeting stays in your calendar and in Outlook or Google exactly as it was.
What the link does and does not change
The link lives in DealJourney only. Nothing is written back to Outlook or Google, nobody on the invite is notified, and no invitation is re-sent.
It also survives. Calendar syncing rewrites a meeting's time, title and guest list whenever they change on the other side, but it never touches the record you attached it to, so the link holds however many times the meeting is re-synced or moved.
A meeting that several colleagues have in their own calendars is one meeting here, so linking it once is enough for everyone.
