Merge fields come out blank or show as {{...}}

The two symptoms have different causes, so start by looking at which one you actually have.

The tag shows literally, as {{customer.company_name}}

The placeholder was not recognised at all. Either:

  • The field name is wrong. A tag only resolves on an exact match, so a guessed or mistyped name stays as text. Delete it and insert the field from the picker instead of typing it.
  • That record type is not part of this send. An {{opportunity.…}} tag sent from a customer with no opportunity attached has nothing to resolve against, so it is left alone. The same applies to {{contact.…}} when the message is going to a typed-in email address rather than to a real contact.

The tag disappears and leaves a blank

This is the more confusing one, and it means something quite specific: the tag was recognised and resolved correctly, and the value it found was empty.

In other words the template is fine. The field is simply not filled in on the record you tested against. A template testing beautifully on one customer and leaving holes on another is the normal way this shows up.

To confirm it, open the record you tested with and look at that field. If it is empty there, that is your answer.

Testing against a real deal

Sender details, such as your job title and phone number, come from your saved profile when you apply an email template, preview it against a record, or send it. A slow sign-in does not mean those fields are empty. If the profile cannot be loaded, the action stops with a message so you can try again; it does not send an email with missing sender details. If you intentionally leave a profile field empty, it stays empty in the email.

Förhandsgranska med data on the template editor is the honest test: pick a real deal or a real company and the message is built with that record's own values, the subject line included. Välj en affärsmöjlighet eller ett företag för att se hur kopplingsfält fylls i med riktiga data. A field the record has no value for is shown as its name in square brackets, so a gap is easy to tell apart from a field that worked.

A test email works the same way. In Skicka testmeddelande, use Fyll i kopplingsfält från to pick a sale or a company, and the email that arrives is filled from that record, your own fields (such as an imported project number) included. Without a record, standard fields get sample values and your own fields arrive as their name in square brackets.

Picking a deal also brings in the company behind it and the contact person on it, so company tags and person tags fill in from those two records rather than from the deal alone. If a company field still comes out empty in that preview, it is empty on the company.

The one thing a deal cannot supply is a second person. A template written for a named recipient should be checked from the place it will actually be sent, because person tags are rebuilt for whoever each message is addressed to — see Merge fields in templates.

How to fix it properly. Fill in the field on the records that matter: adding it as a column on the list page shows you at a glance which records are missing it, so you can spot the gaps without opening each one. If a field is routinely empty, either it is not worth merging into customer-facing email, or it needs to become required when records are created.

Always preview against a real record before sending, and ideally against an awkward one rather than your best-maintained customer.
