Filter a list

Filters are how you get every record matching a rule, rather than the best few matches search would give you. Every list page has the same filter panel.

  1. 1Open the list page for the kind of record you want: customers, opportunities, contacts, leads, or activities.
  2. 2Open the filter panel and click Lägg till filter.
  3. 3Pick the field, pick how to compare it, and give the value.
  4. 4Add more with Lägg till villkor. Conditions in the same group are combined with och, so each one narrows the list further.
  5. 5The list updates to show everything that matches.Custom fields are filterable. Anything your company added to a record

(a project number, a region, a category of your own) appears in the field list alongside the built-in ones. This is the reason filters answer questions search cannot: search only reads names, filters read fields.

Two fields with the same name. When a built-in field and one of your own share a name, for example an employee count your company imported next to the built-in one, the field list shows where each comes from in grey after the name: Standardfält, the system it was imported from (such as webCRM), or Anpassat fält.

Filter by the people on a record. Pick Personer to find records where a colleague is involved in any role: responsible, secondary, or any role your company defined, such as the seller or the person who booked the meeting. It is the same list of people the record's Personer card shows. To ask about one role only, pick that role by its own name instead. Every person list starts with Jag, which always means whoever is looking, so a saved view built on it shows each colleague their own records. A role your company adds later is included automatically.

Nobody assigned. To find the records that fell through the cracks, pick the responsible-person field and choose is unassigned as the comparison. It needs no value, and it works the same way on every list, so "opportunities with no owner" and "leads nobody has picked up" are one condition each. The opposite, is assigned, gives you everything that does have someone on it.

Ranges. Numeric fields offer greater-than, less-than and between, so "deal value between 50,000 and 100,000" is one condition with two boxes. Date fields have the same thing, plus shortcuts like Sista dagen förra månaden so a view stays correct as time passes instead of freezing on a hard-coded date.

A whole period in one step. A date field starts on is in: pick Denna vecka, Förra månaden, Detta kvartal or Hittills i år and the condition covers the whole calendar period. A view saved as "closed this month" shows October's deals in October and November's in November, which "within last 1 month" does not: that one is always the last 30 days, so early in a month it still includes the end of the month before. Is not in gives you everything outside the period.

Weekday and month. Falls on finds records whose date is on the weekdays you tick, such as deals won on a Friday or meetings booked on a Monday. Is in month does the same for months of any year: customers created in December, or every renewal that falls in March. Both work on every date field, your own custom date fields included.

Postcode is a range too. Postcode is stored as text, because Dutch, British and Canadian codes contain letters, but it still offers between: ask for 8000 to 8999 and you get every customer in that stretch, in one condition. It reads the numbers in the code, so 08008 and DK-8000 are both found, and a code with no numbers in it is not in a number range. All the usual text comparisons are still there for the countries where a postcode is not really a number.

Numbers kept in a text field. Your own text fields, such as a project number, also offer är större än, är minst, är mindre än and är högst: ask for project numbers greater than 9999 and you get every one from 10000 up, counted as numbers rather than letters. A value that is not a number, such as a name typed into the field, is never counted as greater or smaller.

Either/or. When you need "this OR that" rather than "this AND that", use Lägg till grupp. Conditions within a group are joined by and; the groups themselves are joined by or.

Use Rensa alla to start over.

You can always tell a list is filtered. A list remembers its filters and search when you come back to it, so a filter left on from last week can make a list look like it is missing records. While a filter is on, the filter button and the search box are coloured, and Rensa filter sits right next to the filter button: one click brings back every record and keeps your sort order.

Once the list is right, two things are worth doing: save it as a view so you never rebuild it, and export it if you need the data outside DealJourney. The export always follows the filters currently applied, so filter first.
