Create a booking link

  1. 1Open Meeting Scheduling from the sidebar.
  2. 2Click New Link.
  3. 3Give it a Title that says what the meeting is: e.g. 30-Minute Discovery Call. This is what the other person sees, so it sets their expectation of the length and purpose.
  4. 4Set the Duration.
  5. 5Under Availability, check the Time zone and then set the start and end time for each weekday, marking the days you do not take meetings as Unavailable.
  6. 6Save, then use Copy link to share it.

Connect your calendar first. Availability is calculated against your real calendar, so without the connection the link will happily offer times you are already busy.

The time zone is part of the link, not part of your browser. The hours above are read in this zone, and it is the zone the calendar invite names. Invitees still pick their own time zone when they book. So a link built in Oslo keeps meaning Oslo hours when you edit it from a hotel in Singapore, and the invitation that lands in the other person's calendar names that zone instead of UTC.

You are told when somebody books. A booking on one of your links reaches you as a notification, and by email as well unless you turn that off. So does a booking that is waiting for you to approve it, one that gets cancelled, and one that is moved. All four are separately switchable under Bookings in Settings.

Worth setting before you share it:

  • ⟦Buffer before meetings⟧: Blocks {{minutes}} min before each booking so you have time to prepare
  • ⟦Buffer after meetings⟧: Blocks {{minutes}} min after each booking before the next one can start
  • ⟦Booking window⟧: People can only book up to {{days}} days into the future
  • ⟦Start times⟧, which decides how often a meeting is allowed to begin. Leave it at 15 minutes for a tidy quarter-hour grid, pick Same as the meeting length if you would rather a 60-minute meeting only ever start on the hour, or drop it to 5 minutes when you want to squeeze the most out of a short day.

Without buffers a full day books back-to-back with no gap to write anything up or travel anywhere, which is how a scheduling link stops being a help.

What the person booking sees. The page carries your company logo and name from Company Profile, and your own profile photo, so there is nothing to set up: fill those in once and every booking link you publish uses them. The one choice per link is Booking page look. Left on Follow the visitor's own setting the page follows whatever light or dark setting the visitor's own browser has, which means the same link can look different to different people. Pin it to Always light or Always dark when you want it to look the same for everyone.

Brand color is per link, so a sales call and a support call can be told apart at a glance.

If you set a custom web address for the link, keep it readable: Letters, numbers, and dashes only. Leave empty to keep current slug.
